SCHEDULING YOUR EVENT

AND ROOM RESERVATIONS

We have large and small meeting rooms available to rent for private and community events. 

Our meeting rooms are an ideal place to hold conferences, workshops, community meetings, and more. We do offer a free monthly use for non-profit, 501(c)(3) groups hosting free public meetings and events. 

Rooms may be reserved online, over the phone, or in-person at the Events Scheduling Office (#213). Provo residents receive a 15% discount on all meeting rooms (select "Provo resident" when booking your event). 

Our Ballroom is an ideal venue for wedding receptions, corporate parties, fundraisers, and more.

Monday-Friday

9:00am - 9:00pm $35 per hour, 3-hour minimum $25 per hour, 3-hour minimum

Saturday

9:00am - 6:00pm $35 per hour, 3-hour minimum $25 per hour, 3-hour minimum

Ballroom pricing varies depending on the day and time range of your reservation. But average costs are $1,000 Monday through Thursday and $1,500 for Fridays and Saturdays, plus a $300 refundable deposit. Talk with an Event Coordinator or check our Ballroom page for more information.

Rental includes tables and chairs set up to your specification before your event. All large meeting rooms include ceiling-mounted projectors and screens. Additional A/V equipment is available free of charge on a first-come, first-served basis. 

Room use before 9:00 am is available for an additional charge.

NON-PROFIT USE

We offer free meeting rooms on a monthly basis for non-profit organizations if the event is free and open to the public and presents information useful to the general public. Note, however, that the Ballroom cannot be reserved for free. 


Proof of non-profit 501(c)(3) status is required upon room booking. We also require that “free room” users post an ad in the Utah Valley Events Calendar. Additional monthly room reservations for non-profit groups are available at a reduced rate

INFORMATION REGARDING

ALL RESERVATIONS

  • You only have access to the room during the time you have scheduled.
  • You must be out of the room by the scheduled time in order to avoid losing your booking privileges.  
  • We accept Visa, MasterCard, and American Express.
    We offer free audiovisual equipment on a first come, first served basis.
  • We set up and take down all the tables and chairs for events.
  • Room use before 9:00 am is available for an additional charge


LARGE ROOMS

Average Large Meeting Room events typically have 20-50 guests; however, depending on the specific room and setup you need, they can accomodate up to 90.

Rental price is $35.00 per hour, with a three hour minimum. A 15% discount is offered to Provo residents and businesses.

Bullock Room

The Bullock Room, #309, can accommodate seating for a theater set up (chairs only) of up to 75, a classroom set up (tables & chairs) of up to 60, and a dinner setting of up to 56.  

The Bullock Room features historic stained glass that is original to the building. ---------------------------------------------------------------------------------------------------------------------------------

Young Special Events Room

The Young Special Events Room, #201, can accommodate seating for a theater style set up (chairs only) of up to 90, a classroom set up (tables & chairs) of up to 60, and a dinner setting of up to 64.

The Young Special Events room also includes a small kitchenette setup with a counter and a sink.

Brimhall Room

The Brimhall Room, #302, can accommodate seating for a theater set up (chairs only) of up to 75, a classroom set up (tables & chairs) of up to 45, and a dinner setting of up to 56. Use of the Brimhall Room is offered with rental of the Ballroom.

Reservations for the Brimhall Room may not be made more than 30 days in advance.

SMALL ROOMS

Average Small Meeting Room events typically have 5-15 guests; however, depending on the specific room and setup you need, they can accomodate up to 30.

Rental price is $25.00 per hour, with a three hour minimum. A 15% discount is offered to Provo residents and businesses.

Young Card Room

The Young-Card Room, #308, can accommodate seating for a theater set up (chairs only) of up to 30 and a classroom set up (tables & chairs) of up to 18.

BALLROOM

The Ballroom can host a dinner setting for up to 350 guests depending on the amount of staging, serving area, or dance floor that your event would require. It can accommodate theater style (chairs only) seating for up to 500 depending on the amount of staging, serving area, or display area that your event would require.
